You need something live this week, your stack is mainstream SaaS, and your ops person is not a developer. Zapier's catalog and templates reduce dead ends. Watch task volume on chatty apps (Slack, polling, enrichment loops).
When Make wins
Your flows branch, transform arrays, and call APIs in structured scenarios. Make's canvas rewards people who think in diagrams. Many SMBs migrate here once Zapier bills climb for the same logic.
When n8n wins
You care about data residency, want unlimited execution on your own infra, or need code-first nodes without duct-taping three products. Budget time for hosting, backups, and upgrades — or use n8n Cloud if you want less ops.
AI workflow angle
All three can call LLM APIs for classify / extract / draft steps. The differentiator is rarely “has AI” — it is reliability, observability, cost per run, and how cleanly you handle failures. Start with one high-ROI path (lead triage, support macros, invoice exceptions) before boiling the ocean.
